Workshop on Benchmarking & Best Practices for Libraries and Information Centres

Benchmarking is not a finite process. It is a continuous, evolving cycle with various distinct phases of planning and implementation. The process does not end at reviewing and recalibrating, but will return to the planning phase for the next iteration, according to organiser of the Workshop on Benchmarking & Best Practices for Libraries and Information Centres, held on 12th – 14th July 2011 at Perdana Leadership Foundation, Putrajaya. The 3-day workshop was lead by Associate Professor Dr Maznah Ghazali from Universiti Teknologi MARA. A total number of 36 participants representatives from 28 organisations attended the program.

“One must be humble enough to admit that someone else is better at something, and being wise enough to learn how to match and even surpass them at it. It’s a systematic and continuous process of searching, learning, adapting and implementing the best practices from within own organization or from other organizations towards attaining superior performance” said Azahar Mohd Noor, Chief Librarian of the Perdana Leadership Foundation in his welcome address.

Benchmarking practices in libraries is a common technique used to upgrade and improve the services provided by the library. Some libraries had begun benchmarking process decades ago; some uses the TQM tool, and the 5 step process. However, these benchmarking techniques get refined and become more valuable when shared.

Indeed, the sharing of knowledge was the main highlight of the three-day workshop. After the introduction of benchmarking models, the participants were divided into groups to exchange ideas, brainstorm, as well as to work on specific assignments and group presentations. The group presentations highlighted the best benchmarking strategies derived from the benchmarking questionnaires created by the groups. The group consisting of members namedAshraf Bin Sulaiman,Catherine Malik, Jimpele Anak Ambau, Mohd. Norafendy Bin Mohd. Nordin, Ng Siew Ling, Rosleiliza Binti Che Mat ,Zalina Binti Sayuti, won the judging panel over with their presentation, entitled Benchmarking Process and Best Practice, while Encik Azman Abdul Rahim of UNIRAZAK was crowned Best Presenter.Puan Zarina Abu Bakar, the General Manager of Perdana Leadership Foundation, presented the prizes as well as participant certificates at the official close of the Workshop.

Before the workshop adjourned, participants were treated to a cruise around Putrajaya Lake, a scenic finish to the training event. All enjoyed the learning and networking opportunities, though some expressed hope that there would be more such workshops to extend the learning experience further.

Kursus Pembantu Perpustakaan / Pusat Maklumat 2010

Perdana Leadership Foundation and the Librarians Association of Malaysia successfully organised a five-day workshop for assistant librarians, entitled, “Kursus Pembantu Perpustakaan / Pusat Maklumat” from 22nd March 2010 to 26th March 2010 at the Foundation in Putrajaya. Forty-five participants from twenty organisations from all over Malaysia attended the workshop which was divided into seven sessions namely; ‘Types of libraries and its functions and objectives’ by Mr. Adnan Haris of Perdana Leadership Foundation, ‘Printed and Non-printed Materials Cataloguing Process’ and ‘DDC Classification System: Determining Topic and Classification’ by Puan Salmah Salleh, ‘LC Classification System’ by Puan Balqis Suja of UIAM Library, ‘Circulation and Its Functions’ by Encik Kamal Sujak of MMU Library, ‘Reference System and Its Functions’ by Encik Ahmad Munawar of OUM Library and ‘Promoting and Marketing Libraries’ Encik Ibrahim Hj Mohamed, Petronas Library.

Sebab itu orang Melayu kebanyakkan hidup dalam ketakutan. Ini adalah satu daripada masalah orang Melayu. Mereka mudah takut, bukan sahaja mudah lupa tetapi mudah takut. Tak perlu tekan banyak-banyak kalau ada sikit ugutan sahaja mereka kaku tak boleh bergerak. Sebab itu mereka mudah dijajah tak seperti orang di India tak seperti orang di Indonesia, tak seperti Negera China, di Malaysia agak mudah bagi siapa sahaja untuk menakluk negeri-negeri Melayu kerana kita tak berani bertindak kalau ada sedikit sahaja ugutan akan dimasukkan dalam tahanan ataupun dibuang negeri. Jadi orang Melayu tidak fikir mereka patut mengambil bahagian dalam politik sehinggalah pada tahun sembilan belas empat puluh enam [1946] apabila dikenali bahawa pihak British bercadang untuk menubuh Malayan Union dan Malayan Union ini akan menjadi sebuah negara bagi sesiapa sahaja. Siapa saja yang ingin menjadi rakyat, mereka boleh jadi rakyat ataupun citizen bagi Malayan Union ini dan mereka akan mempunyai hak sebagai citizen. Pada ketika itu barulah kita dapati beberapa para intelek dulu dipanggil intelligentsia sekarang ini kita tak guna perkataan ini intelligentsia sekarang kita panggil intelektual ada juga intelektual berpendapat bahawa mereka harus bertindak melawan British dan menolak perjanjian yang dibuat oleh raja-raja.

Tetapi mereka sedar bahawa kalau mereka bertindak sebagai rakyat negara masing-masing, negeri masing-masing mereka agak mudah ditewas, ditekan maka timbullah perasaan iaitu untuk menentukan tindakan mereka itu berkesan mereka harus menyatu-padukan orang Melayu pada ketika itulah barulah mereka sedar bahawa mereka adalah orang Melayu. Sebelum daripada itu mereka menganggap diri mereka sebagai rakyat kepada raja masing-masing. Orang Kedah sebagai rakyat Raja Kedah, orang Perak adalah rakyat Raja Perak, orang Selangor demikian juga orang Pahang; mereka bergerak sebagai rakyat negeri masing-masing tidak menganggap diri mereka sebagai satu bangsa tetapi apabila diancam dengan kemungkinan mereka dilucutkan daripada penguasaan negeri ini bahawa barulah mereka sedar akan pentingnya perpaduan dan kita tahu kerana mereka bersatu-padulah maka mereka menjadi kuat mereka bersatu-padu dalam satu pertubuhan politik yang dikenali sebagai UMNO ataupun United Malays Nasional Organisation. Namanya nama Inggeris mengambil singkatan daripada nama United Nation Organisation. Pada pada masa itu, kita tak kata UN dalam bahasa kita, kita kata U.N.O kita pinjam daripada nama itu dan kita panggil diri kita sebagai  United Malays Nasional Organisation .

Tetapi yang kita tidak pernah guna ialah nama Melayunya. Nama Melayunya ialah PEKEMBAR; Persatuan Kebangsaan Melayu Bersatu PEKEMBAR. Ini nama yang lebih bermakna daripada United Malays National Organisation tetapi kita tidak menggunakan nama itu kita senang dengan menggunakan nama Inggeris iaitu UMNO dan UMNO ini ditubuh dengan satu matlamat sahaja, satu tujuan sahaja iaitu untuk menidakkan atau membasmi Malayan Union.

Workshop on Preventing Organisational Memory Loss

Entitled, “Preventing Organisational Memory Loss”, this workshop aims to highlight methods to avert organisational memory loss and to identify tools that can help preserve the memory. This is the first time in 2010 the Perdana Leadership Foundation is organising a library-oriented workshop, in collaboration with the National Library of Malaysia, Universiti Teknologi MARA (UiTM) and Librarians Association of Malaysia.

Perdana Leadership Foundation’s Chief Librarian, En. Azahar Mohd Noor started the course with an opening remark to welcome the participants who came from all over Malaysia to the training. The facilitator for the first day was Dr. Rusnah Johare from UiTM. In the first session, Dr. Rusnah discussed a few points triggering corporate memory loss, for example, libraries and archives destructions in the twentieth and twenty first century and methods to preserve the memory. Among questions asked during the question and answer session were basic criteria to preserve records and security issues concerning record management.

The second session highlighted the topic of oral history, also known as the ‘knowledge harvesting tool’.  The participants also shared their professional experience ‘harvesting knowledge’ for their organisations. Before the first day ended, a break out session was held and the participants were divided into seven groups and the topic of discussion was to analyse, formulate and develop qualitative questions to capture tacit knowledge and the experience of Datin Paduka Dr. Sharifah Mazlina Syed Abdul Kadir. Group presentations will be conducted the next day and the best group will be given the opportunity to interview Datin Paduka Dr. Sharifah Mazlina Syed Abdul Kadir. The session ended at 4.30 pm.
